Shared reference boards open as you laid them out
A reference board shared with a customer now opens on the canvas on a computer, with your sections and cards where you put them. They can pan and zoom but not move anything, and can switch to the list. On a phone the shared board is still a list.

Each booking now has a reference board: drop in photos, notes, links, colours and items from your catalogue, group them into sections, and share a view-only link with the customer. Cards marked internal never reach the shared page. Open it from the booking's Design section.

Site plans: booked items by category
Booked items in the planner's Add panel are now grouped by inventory category, and a category with something still to place opens on its own. An item taken off the map counts as still to place, and picking it puts that same item back, so the separate “Placed, not drawn” list is gone. Each item row shows its own picture and what is left over what was booked, as 16/40.

Site planner: views, and an address search before a plan opens
The site planner page now uses the whole width of the screen and can show your bookings as a list, a grid of cards, a board, a month calendar or a sortable table. Starting a plan asks where the event is: search for the address and pick it from the list, so the plan is pinned to the exact place, and say whether the space is outdoors or an indoor floor plan. A booking with a lawn and a hall gets one space for each and switches between them.

Site plans: clearer tools, and plans that open in view
The tool you are using is now clearly marked in light and dark mode, and the arrow keys move between tools. On a phone the tool bar wraps instead of hiding Undo and Redo off the edge. An indoor plan opens with its drawing in the space beside the sidebar rather than under it, and the phone's Items button is now called Add.

Site plans: fifteen more Esri map styles
Outdoor plans can now sit on Esri's light and dark grey maps, terrain, streets with relief, night maps, and hand-drawn and antique looks for sheets you hand to a client. Each card in the map panel shows a picture of that map at your venue.

Site plans: turn the view with a right-drag, and a second satellite
Right-click and drag on a plan to turn it; each turn can be undone. Clicking the compass puts north back at the top. Outdoor plans can also sit on a second satellite photo, with or without labels. Changing the map no longer takes up a step in undo and redo.

Site plans: every tool in view, more maps, a turn handle
The tool pill now shows every tool as its own button with its keyboard key and a tooltip, and nothing hides behind a menu. The plan opens on the hand, so a drag moves the view; Selection (V) picks and moves things. Outdoor plans gain more maps to choose from, among them a pale street map, topographic and outdoor maps and satellite streets. A selected object has a round turn handle above it, and markers stay circles however they are resized.

Site plans: a new icon for every marker, a picture for every real-size item
Every marker now carries its own icon, white in a coloured circle with a white ring, so an entrance, a first-aid point and a bar read apart at a glance. Markers no longer print a name under them, and a new one starts 4 m across on an outdoor plan. Real-size items, from a chair to a coach, now draw as a top-down picture at their true size. The colour and opacity of an object sit together in one box.

Site plans: one search, a tidier object list
One search now finds booked items and objects together, with a filter for either, and it stays in place while the list scrolls. Areas, routes and access share one group. Placed objects lists everything drawn by icon and name with a count and its own search, and line style is two dropdowns. An object’s name is edited at the top of its settings, and the new ⋮ menu beside Share switches measurements between metres and feet.

Site plans: draw routes point by point, a cleaner plan and inspector
Routes, fences and barriers now draw point by point in their own colour, and closing one on its first point turns it into a shape. Objects keep a crisp edge at any size, names stay in the legend instead of on the plan, and the settings show an object’s colour, width and length at a glance.

Site plans: a fuller object library, placed where you click
The object menu now carries a much larger catalogue, in tidier rows grouped as entry and access, routes, infrastructure, workforce and a library. Picking an object makes it follow the pointer until you click the plan, or you can drag a row straight on. Markers use a fixed set of fourteen colours with an opacity, and real-size items such as generators and vans show their width and length under Details.

Site plans: solid markers, area presets, wheel zoom
Markers are now solid coloured circles, drawn at their real size, and each kind of equipment has its own colour. Areas offers camping, crowd, generic and parking areas that arrive named and coloured. The mouse wheel zooms and holding it down pans, Delete removes the selection, Esc steps back one thing at a time, and you are editing from the start, with no separate pointer button.

Site plans: a full-screen workspace
The plan now fills the screen, with the objects, tools and settings floating over it and the navigation tucked away until you ask for it. A booking’s spaces switch from one menu, Export offers print, PDF or a PNG, and zoom, the compass and the map type share one dock at the bottom right. Symbols on the plan now take their group’s colour.

On a computer, everything you can add to a plan is now always on the left, with what is already placed one click away, and the panel folds away when you want the whole screen for the plan. An object’s settings open in a card over the plan instead of taking a column of their own. Outdoor plans can now show satellite imagery, and zoom and the map type sit together at the bottom right.

Site plans: easier to use on a phone and from the keyboard
On a phone the plan’s full name now shows above the drawing, and the rotate buttons and Print / export moved under a More button, so the toolbar takes less of the screen. Buttons and toggles show a clear outline when reached from the keyboard, the Items and Placed tabs read clearly in both light and dark, and the bottom sheets open and close more smoothly, with less movement when reduced motion is on.

Site plans: a grouped Add menu, ready-made routes and fences, staff as dots
The Add menu now opens group by group, and Infrastructure is split into smaller groups such as electrical, toilets and traffic management, with nearly fifty new markers among them. Searching still finds anything at once. Pedestrian and vehicle routes, fences, crowd barriers and trackway arrive already styled as lines. Workforce posts draw as dots coloured by role, each with its role named beneath it, and the printed legend counts them.

Site plans: line lengths and seating density
A line on a site plan now shows how long it is, on the plan and in the side panel, so a barrier run or a cable path can be measured as it is drawn. Selecting a zone shows its area, its seats and how many seats that is per square metre, the printed legend carries the same figure, and with a guest count set the plan shows the floor area per guest.

Site plans: tidier sheets and images
A printed site plan no longer carries a “Page 1 of 1” footer, a plan with only a few things on it prints at a sensible scale instead of one chair filling the page, and a floor-plan image that has not been measured yet is printed whole. Outdoor sheets keep their angle and north arrow when the map cannot load. The PNG uses the same typeface as the sheet, keeps long titles apart and draws the map sharply, and its file name keeps accented and non-Latin letters.

Site plans: a searchable marker menu with many more markers
The Add menu on a site plan is now a set of icon tiles in five groups (areas, routes and access, infrastructure, workforce and a library of décor), and typing a name finds a marker in any of them. New markers cover stewards and security posts, accessible entrances and assembly points, tents, bins and lighting, and cake tables, flower walls and photo booths.

Colour and style shapes, lines and zones, with arrowheads on lines. Outdoor plans can switch between streets, satellite, hybrid or a plain grid, and the view can be turned to suit the space. Print any site plan on A4 or A3 with your logo, a legend of what is placed, a scale bar and, outdoors, the map with north up; save it as a PDF or a PNG. Or share a view-only link with a client, the venue or the crew. It stays up to date as you edit, can carry a password, and can be replaced or switched off at any time.

Every change to a plan can now be undone. Select several things at once to move, line up or delete them; copy, paste and Repeat a block; draw zones of any shape with their lengths shown; snap to a grid and to nearby edges; and keep a busy plan tidy with folders you can hide or lock.

Site plans: draw the event to scale
Place a booking’s items on a floor plan or an outdoor map, to scale. Venues keep their own walls and fixed features, zones become areas of the design, and quantities stay with the design so the plan never disagrees with the booking.

Deposits decide when a scheduled invoice is overdue
An invoice with a deposit and a balance is overdue when the part still owed is late, not simply after its due date. A paid deposit is no longer flagged as overdue before the balance is due.

Help topics beside every article, and support one click away
On a larger screen, Help now keeps every topic in a panel beside the article you are reading, grouped by section. Open a topic to jump straight to any part of it. Contact support sits at the top of the Help page and at the foot of that panel, so you no longer have to scroll to the bottom to find how to reach us.

Every Settings tab shows on a phone
On a phone the Settings tabs ran off the edge of the screen, so Finance, Team, Billing and Data looked as if they were missing. The tabs now wrap onto a second row and are all in view.

Reports are easier to read
The money charts now state their scale in your own currency rather than in raw units, the figures under each chart no longer cut off on a phone, and each chart highlights only its one row worth a second look. The CSV download on every report is a proper button, easier to tap.

Real flags in phone number fields
Picking a country for a phone number now shows its flag on every computer, and you can search countries by any part of their name. Empty phone fields start on your company’s country, and a number on +1 keeps the country you chose instead of switching between the US and Canada.

A tidier, more consistent app
The sidebar groups its sections into operations and back office, and its labels appear as tooltips when it is collapsed. Buttons look and behave the same everywhere. Payment methods and history entries read as plain words, and finance documents show who changed what and when. On Planning and Dispatch, the previous and next day arrows now sit joined to the date they step through. Changing someone’s role is now pick, press and confirm, so a stray key press cannot change it for you.

Nothing drops off the dashboard’s alerts
Needs attention used to stop at ten overdue or overbooked items without saying so. It now ends with “and N more”. The counts-pending alert opens exactly the items its tile counts, and the highlight around whatever you have selected with the keyboard is easier to see on a light screen.

A services catalogue for quotes and invoices
Decoration, planning, a setup crew — the things you sell that aren’t stock now live in a catalogue under Finance. Pick one on a quote or invoice line and its name and rate fill in; change the rate later and documents you already made stay as they were. Retire a service by archiving it.

On the Team page a person’s email and phone now show masked unless your role can see staff contact details. Owners are unaffected; for anyone else, ask an owner to add it to their role.

Unpaid invoices chase themselves
Switch on Email customers about unpaid invoices in your finance settings and RentWeave emails a customer shortly before an invoice is due and at intervals after, stating what is still owing, until it is paid. Replies come to you. Each invoice shows which reminder went last and when the next one goes, and can be paused for a customer you are handling yourself.

Security deposits, held apart from your income
Record a security deposit on a booking, collect it, and later apply it to an invoice or refund it. It is the customer’s money until you apply it, so it never counts as income while you hold it. A new Deposits list shows what has not been collected for jobs going out soon and what you are still holding, and dispatch flags a run whose deposit is missing. Set a default percentage in finance settings.

Choose how your quotes and invoices look
Two new templates, Bold and Proposal, a picker that shows each one, an accent colour, logo size and position, a list of bank accounts with the primary first, and a choice of which company details print. Number prefixes and more payment terms are there too.

Email a quote or invoice, and let the customer accept online
A quote or an issued invoice can now be emailed from its own page. The customer gets a link to their copy, on your letterhead, which they can print or save as a PDF — and Copy link gives you the same link for WhatsApp or anywhere else.
A sent quote can be accepted from that link. The customer types their name and accepts, or declines; the quote records who accepted and when, and a tentative booking confirms itself as long as the stock is still free.New
Damage that was never charged
A new list shows returned bookings with damage nobody has yet charged to the customer. Start an invoice from it with the damage lines filled in, or waive the amount with a reason. A waiver can be undone, and its record is kept. The count also appears on the dashboard and finance page.

On the Team page, enter an email and a role and send the person a link. They choose their own name and password, the link works once and lapses after seven days, and it takes no seat until they accept.

Buying: purchase orders, a buy list, and what you owe
RentWeave now records the other half of the warehouse: what you buy. Purchase orders cover the four things this business actually spends on — stock for the warehouse, consumables for one job, something hired in to cover a shortfall, and a repair — and each line says which it is.
Signing for a delivery is a separate step from taking it into stock. Anyone who can receive can stand at the door with a phone and put in what came off the van, and that changes no stock figures at all; the office then accepts it, which is what raises what you own and writes it into the item’s history against the order it arrived on. If more turns up than you ordered, record what actually came — it will show as over rather than being quietly rounded down.
A buy list gathers everything short on the shelf today and everything at or below its reorder point, and says what is already on its way against each one. What you are short is stated in full, with whatever is on order or hired in shown beside it rather than subtracted from it — hired-in chairs go home again, so they answer a shortfall without making it disappear. Ordering from a row carries the item and quantity into the form.
Supplier bills record what a vendor has invoiced you and what you have paid. A bill keeps their own number and their own tax figure, off the paper in front of you, and its lines can point at what you ordered — so an order can say what it has been billed, and flag the two cases worth a look: delivered but never billed, and billed for more than turned up. Reports: three new ones, any period, and a way to get them out
Reports can now tell you what your stock actually earns — the share of a period each item spent out on hire, rather than sitting on a shelf — what comes back broken, from the return counts, and how the money is running, with what you invoiced against what you were paid, month by month.
Every report now covers a period you choose instead of a fixed one, and a single control at the top lines all of them up on the same window. Each has a CSV link for a spreadsheet, and the page prints cleanly if you want it on paper or as a PDF.
The charts have been redrawn so the marks can be counted rather than estimated, and every one of them prints its figures as text underneath — a chart on a phone is no use if the numbers are only in a tooltip. See reports.New
The design spec: what goes where
A booking now carries a Design page — the parts of the venue, and what goes in each. Add an area, then put quantities of what you booked into it.
The quantities come off the booking rather than being typed twice, so the page can tell you that fourteen of your forty chairs still have no home — and the booking itself carries that figure, with a tap straight through to the design. Place more than you booked and the line says so rather than quietly reporting it as accounted for. See run sheets and planning.New
Crew: who is working a job, and nobody in two places at once
A booking now has a Crew panel — who is working that job, which day, which hours and what they are doing. The Planning board lists everybody working the day you are looking at, across every booking, so somebody on the floor can answer “am I working Saturday” as well as “what am I doing on it”.
Putting a person somewhere they already have to be is refused, and it looks at everything: another event, a delivery or collection run, and time off recorded on their staff record. It works from both ends — crewing a van for somebody already on an event is stopped just the same. You can go ahead anyway if you say why, and your name goes on it. A refusal names the job or the dates and never says why somebody is away; that stays on their staff record. See run sheets and planning.New
Run sheets: what happens on the day
A booking now carries a run sheet — what your team does on the day, in the order they do it. Add a line with a time for the schedule itself, a line with just a day for something that has to happen that day, or neither for a job nobody has dated yet. The new Planning board shows one day across every booking, leads with anything overdue, and narrows to your own lines with one tap. Your warehouse staff can tick lines off without being able to rewrite the sheet. Your dashboard carries a Run sheet today figure that opens straight onto it. See run sheets and planning.
